Keenan Law, LLC operates a bit differently from most law firms. Our policy is to incorporate available office management technology into the law practice, as long as such technology can be practically applied, in order to maximize the level of service provided to each and every client.
For example, Keenan Law, LLC operates on a "paperLESS" model in which all client files are digital, with every document scanned and converted into a "PDF" file which is then saved under the appropriate subfolder in the client's digital file. The only hard-copy documents that are maintained are original estate planning documents. This approach makes access to information much easier, forwarding information to clients via e-mail attachments expedites the process of transferring information, and many expenses incurred with paper files (such as office space to store files and renting off-site storage space) disappears and the overhead cost savings is passed down to the clients in the form of more reasonable fees. It also allows us to easily back-up all of our files on a daily basis so that our clients' information can be preserved in the case of a natural disaster.
The practice also uses a service called "eFax" to send and receive faxes. This service converts all incoming faxes into PDF attachments and then e-mails the attachment to us. It also converts our outgoing faxes from PDF to a traditional fax on the receiver's end. This set-up allows us to review faxes from wherever we are. In contrast, receiving faxes through a traditional fax machine limits your access to incoming faxes. Additionally, with eFax you avoid costs like fax machines, toner, paper and a separate phone line, which results in further overhead savings.
Additionally, the practice uses the AT&T Treo 680 smart phone which allows constant access to e-mail correspondence and the ability to review, edit and create documents on the go. Using this type of communication technology allows us to be as responsive as possible for our clients.
These are just a few examples of the office technology that is used by the law practice. Although the technology-orientation of the firm is unique, we like to think that we have an efficient and cost-effective system in place that allows us to provide our clients with the best possible service at reasonable fees.
